Event-Triggered Sends Without a Journey
When a record change should just send the message — and how to keep those small automations from multiplying.
- Flow Builder
- Triggered sends
- Operations
A lot of what gets built as a one-step journey is not a journey. It is a rule: when this record reaches this state, send this message. In Next that is a record-triggered flow with a send action, and it is considerably easier to reason about.
Why this is better than a one-step journey
- The trigger is the record change itself, so there is no entry data extension to keep fresh.
- It sits next to the other automation on that object, where the next admin will look for it.
- Testing is a record update rather than a journey version dance.
The failure mode
Proliferation. Small flows are so easy to make that a year later nobody can answer "what does this customer receive when an order ships?" without opening nine of them.
Two habits fix it: name flows after the business event rather than the message, and keep a single page listing every automated send with its trigger. Neither is clever. Both survive a handover.
Also confirm consent is evaluated at send rather than at trigger. An operationally correct flow can still be a compliance problem.
